Getting started
Set up your firm, your sender profile, and reach first value quickly.
- Getting started with RumoAfter signup, verify your firm email and open the Get Started card on the dashboard. Work through the required setup steps in order: firm profile, sender profile, invite your team, add a client, pick engagement templates, create your first engagement, and send your first document request. Every step saves automatically — you can leave and come back at any time.
- Inviting staffGo to Admin Settings → Users & roles → Invite user. Choose a role (firm admin, reviewer, or preparer), enter the email, and Rumo sends a branded invitation from your firm's sender profile. Only active internal seats are billed; deactivated users and client portal users are free.
Clients
Add households, individuals, and entities. Manage relationships and engagements.
- Adding clientsFrom Clients → New client, provide a display name and entity type. Add primary contact info and any relationships (household members, entity owners) so a single dashboard view shows everything that matters. To load many clients at once, use Admin Settings → Imports with the CSV template.
- Households and relationshipsGroup spouses, dependents, and entity owners under a household so their engagements, documents, and portal invites appear in one place. Relationships are visible on each client's Overview tab.
Engagements
Tax returns and projects. Start from a template, track progress, and hand off cleanly.
- Creating engagementsOpen Engagements → New engagement. Pick a client and a template (1040, 1120S, 1065, etc.). Rumo creates the tasks and document requests defined by the template, assigns the default preparer and reviewer, and sets the deadline. You can adjust any of these after creation.
- Understanding reviewer queuesWhen a preparer marks an engagement 'Ready for review', it appears in the Reviewer Queue for the assigned reviewer, sorted by deadline risk. The queue tile on the dashboard shows how many engagements are waiting and how many are overdue. Reviewers can accept, request changes, or reassign to another reviewer without leaving the queue.
Documents & portal
Request documents from clients and manage everything the firm has on file.
- Inviting clients to the portalOpen the client record and click 'Invite to portal'. Enter the primary contact's email and Rumo sends a secure invitation from your firm's display name. The pill next to the client name shows whether the portal invite is Not invited, Pending, or Active — resend or manage access from the same button.
- Requesting documents from clientsFrom an engagement's Documents tab, click 'Request document'. Set a title, description, and due date; Rumo emails the client, tracks the request in the portal, and follows up with automatic reminders when appropriate. Uploads land in the engagement's document list and update the delivery checklist.
Billing
Trial, subscription, seat management, and invoicing.
- Billing and seat managementYour Rumo subscription is managed under Admin Settings → Rumo Subscription. Only active internal users are billed; client portal users are always free. To change card, plan, or seats, click 'Manage billing' to open the secure billing portal. Sidebar note: 'Invoices' is your client-facing invoicing tool for services rendered — separate from your Rumo subscription.
- Trial countdownNew firms get a 31-day free trial. The countdown is shown to admins in the top banner and on the dashboard. Billing begins automatically on Day 32 unless the firm cancels earlier.
Security & audit
Encryption, MFA, and the audit log.
- Turn on MFAFrom your profile menu → Security, enroll MFA using any TOTP authenticator (Google Authenticator, 1Password, Authy). Recovery codes are shown once — store them somewhere safe. MFA is required for firm admin accounts.
- Audit logAdmins can review every meaningful action — sign-ins, role changes, document access, invites, billing events — under Compliance & Audit. Records are immutable and exportable for examiner review.
